Position
This position will support multiple functions and provide backup administrative support co-working with other Executive Assistants in the Tokyo office. This position starts providing administrative assistance in Client Group but may rotate to support other team outside of Client Group after a few years. The Executive Assistant’s role is to leverage the teams’ time through logistical coordination of their activities and needs. This role will initially focus on supporting the growing relationships within the Japan Wealth business channel in Client Group but will also to be expected to flex to support other key business areas such as Financial Institutions, Pension and Client Service Management. You will collaborate with Business Developers, Relationship Managers, Account Managers, Business Managers, and other Analysts as a team to interact frequently with clients: by phone, via written communication, and in-person.
Responsibilities
This position is responsible for supporting our relationship management efforts by providing general administrative assistance.
Duties will include, but are not limited to:
• Diligent telephone coverage with gate-keeping expectations.
• Scheduling and coordinating client meeting arrangement.
• Producing/orchestrating various materials including meeting prep packets and client meetings materials, etc.
• Helping to coordinate the production of presentation books with cross-functional team, including Reporting team.
• Providing back-up for other department support positions as needed
• Assisting with ad-hoc projects or other duties as assigned

Qualifications
The successful candidate will have:
• Excellent organizational, multi-tasking, and prioritization abilities.
• Strong interpersonal, verbal, and written communication skills both in Japanese and English (Business Level) .
• Minimum of 3-5 of relevant professional experience
• Basic investment and capital markets knowledge is preferred as the successful candidate will assist in preparation of client materials.
• Solid work ethic and positive attitude.
• Advanced proficiency in MS Office ( Word, Excel, Outlook, Power Points & OneNote) and desire to learn new technology to drive efficiencies.
• Outstanding service orientation and proactive problem-solving skills.
• Ability to work under deadlines and accommodate last-minute changes.
• Ability to work independently and as part of a team to embrace collaboration.
• Positive, can-do attitude; flexibility and sense of humor.
• Sound business judgment, strong communication skills, and the ability to express oneself in both individual and group settings are a must.
• Ability to communicate in a creative manner is a required skill set.
• Possess growth-mind set and comfortable to move forward in ambiguous working environments.
• Keep close attention to legal and compliance.
• Analytical orientation is also required.
