WHO YOU'LL WORK WITH
You will be based in the McKinsey Tokyo, Japan office as part of the Japan Office Services (OS) team. The Office Services team covers both Tokyo and Kansai offices and a variety of domains: Office Risk, Real Estate, Office Operation, Office Compliance, and Travel.
You will be directly reporting to the Office Services Manager. The Office Services team delivers impact to our colleagues and for our offices in pursuit of improving our colleagues' work experience and productivity and contributes to significantly enhancing cost-effectiveness and operational compliance – and above all, our key mission is promoting the well being of our colleagues by providing a safe and great work environment.
WHAT YOU'LL DO
You will perform a range of administrative duties and support an array of activities that contribute to the functionality and upkeep of the office.
In this role, you will organize and be responsible for Incident Management, Facilities & Vendor Management, Real Estate, Certification, and OS-related Communications, including responding to correspondence professionally and efficiently.
Your responsibilities will include but are not limited to:
support any emergencies as part of the incident management team (e.g., earthquake, building fire, pandemic, virus, or if other crisis strikes);
responsible for maintaining and collecting the latest emergency information related to the Japan offices (Tokyo and Kansai), including fire evacuation drills, updating evaluation plans, and creating announcements;
closely work with EWs (Facility team) to maintain office safety and cleanness and properly stock food, beverage, stationery, etc.
responsible for OS-related vendor management, such as invoice process, new/renewal onboarding process, contract, SLA tracking, anticipate issues in advance, and promptly escalate to the OS team;
support office-related certification and license processes that are key to enhancing our client development. (e.g., ISO9001, ISO27001, ISO14001);
support the VISA letter process for internal/external stakeholders;
assisting in Japan office space project, e.g., optimization, expansion, moves, and searching team rooms outside the client site and responsible for arranging team schedules, cost analysis, and vendor management;
produce accurate reports for office attendance and space utilization;
work with local IT and firm security to implement firm security regulations and guidelines and support/monitor day-to-day security demands and incidents;
support the Green team on the impact of social responsibility and sustainability initiatives, including maintaining the Japan office blueberry farm in Hachioji and implementing global social responsibility programs;
responsible for maintaining Office Services intranet pages and creating a newsletter related to travel, facility, Green team, emergency information, etc.
provide a range of administrative support (e.g., file organization, managing team calendar, arranging a meeting, OS and facility vendor's contract management, accounting administration, vendor onboarding, purchase request, etc.).

QUALIFICATIONS
Bachelor’s degree required2+ years of facility/site management experience, ideally in a professional services environment
Native level Japanese and conversational fluency in English
Demonstrates excellent oral and written communication skills and can initiate and compose own correspondence
Maintains confidentiality and commits to a standard of excellence
Ability to work accurately and effectively under extreme pressure while remaining calm and composedDemonstrates organizational/administrative skills
Visibility of work requires attention to detail, excellent organization skills, and discretion with confidential information
